A permit to work exists because some maintenance tasks carry consequences serious enough that "the technician judged it was safe" isn't an acceptable standard on its own — a second, authorized person has to check and sign off before the work starts.
What a permit typically covers
Most PTW systems, whether paper-based or digital, capture the same core information:
- The specific task and location — not a general area, the exact equipment and zone
- Identified hazards — what could go wrong (fire, electrocution, asphyxiation, fall)
- Required controls — isolation steps, PPE, standby personnel, gas testing
- Time validity — permits expire; a job that runs long needs a re-issue, not an assumption
- Sign-off and close-out — issued by an authorized person, and formally closed once work and area checks are complete
Where this connects to a CMMS
A permit to work is a safety control, not a maintenance-scheduling tool — but the two intersect constantly. A work order for a high-risk task should be blocked from being marked "in progress" until its linked permit is issued, and the permit shouldn't close until the work order confirms the job (and the area check after it) is actually done. Systems that keep work orders and permits as separate, disconnected records are exactly where the gap opens up — a job starts on the work order side before the permit side has caught up.
