Permit to Work (PTW)

is a formal, signed authorization required before a high-risk maintenance task — hot work, confined space entry, electrical isolation, working at height — can begin, confirming the hazards have been assessed and the right controls are in place.

A permit to work exists because some maintenance tasks carry consequences serious enough that "the technician judged it was safe" isn't an acceptable standard on its own — a second, authorized person has to check and sign off before the work starts.

What a permit typically covers

Most PTW systems, whether paper-based or digital, capture the same core information:

  • The specific task and location — not a general area, the exact equipment and zone
  • Identified hazards — what could go wrong (fire, electrocution, asphyxiation, fall)
  • Required controls — isolation steps, PPE, standby personnel, gas testing
  • Time validity — permits expire; a job that runs long needs a re-issue, not an assumption
  • Sign-off and close-out — issued by an authorized person, and formally closed once work and area checks are complete

Where this connects to a CMMS

A permit to work is a safety control, not a maintenance-scheduling tool — but the two intersect constantly. A work order for a high-risk task should be blocked from being marked "in progress" until its linked permit is issued, and the permit shouldn't close until the work order confirms the job (and the area check after it) is actually done. Systems that keep work orders and permits as separate, disconnected records are exactly where the gap opens up — a job starts on the work order side before the permit side has caught up.

On the floor

A contractor needs to weld a cracked bracket on a conveyor frame. Before the torch is lit, a supervisor walks the area, confirms there's no flammable material within the hot-work radius, checks a fire extinguisher is staged, and signs the hot-work permit. The weld doesn't start until that signature exists — and the permit gets closed out, not just started, once the job is done and the area's been checked again.

Is a permit to work the same as a risk assessment?

No — a risk assessment identifies the hazards and decides what controls are needed. The permit to work is the formal record that those controls are actually in place, checked by someone with authority to issue it, before work starts. The risk assessment feeds the permit; the permit is the go/no-go gate.

What kinds of maintenance tasks typically require a PTW?

Hot work (welding, cutting, grinding), confined space entry, work at height, electrical isolation (lockout-tagout), excavation, and any task where a general risk assessment alone isn't considered sufficient control for the hazard level.
